Strata runs on email. Your day shouldn’t.
A manager’s inbox, quarter to nine on a Monday.
Nothing says which building
An owner writes "the lift is out again". Which lift? You look up their name before you can even start.
Urgent looks the same as routine
A burst pipe and a parking grumble arrive looking identical. One of them can't wait until after lunch.
You have answered it before
Most questions are already answered in the by-laws or the last minutes. Finding it and writing it out again is the job.
The same email, ready for review
Strata Inbox works out the building, lot and urgency, then drafts a reply from that building’s documents. The passage it used sits right beside the draft, so checking it takes a glance, not a search.
A draft you’d sign your name to
Helen has asked twice about timber floors. By the time you open her email, the reply is already written, with the right by-law quoted and one detail left for you.
It finds by-law 14.2 in Harbourview’s own documents and puts the clause beside the draft. Checking it takes a glance, not a search.
How setup works
Confirm Microsoft access, your building import and document requirements before connecting a production mailbox.
Connect Outlook
Confirm access with your administrator, then connect a supported Microsoft 365 mailbox.
Add your buildings
Add buildings, lots and contacts, then upload supported documents such as by-laws and meeting minutes.
Check and send
Check the suggested building, source documents and draft. Make corrections before approving an owner reply.
From incoming email to a reviewed reply
Bring email, building context and source documents into the review workflow.
Finds the building
Works out the scheme from street names, plan numbers and who is writing. Unclear matches are flagged, not guessed.
Finds the lot
Matches "unit 14" and known contacts to the right lot, so you know who you're talking to.
Urgent ones first
The burst pipe goes to the top as Today. The parking grumble can wait for This week.
Replies ready to send
Most of the reply is written before you open the email. You read it, tweak it and approve it.
Quotes the documents
Replies cite the building's own by-laws, minutes and notices, with the exact passage beside the draft.
Change it in a sentence
Tell it what to change, such as "shorter" or "mention the AGM date", and a new version appears.
Draft version history
Review earlier versions of a reply and the instructions that produced them.
Send from your own address
Approved replies go from your own mailbox, in the same conversation. To the owner, it's simply your reply.
Building timeline
Meeting minutes become a running history of levies, works, by-laws, committee and insurance.
Morning summaries
Scheduled summaries are separate from owner replies. Confirm recipients, scope and timing during setup.
Ask about your records
"Which buildings have roof works this year?" Each answer lists the emails and documents it drew on.
People and conversations
Each owner, tenant and contractor has one page with their buildings, lots and recent conversations.
Every building’s story, read from the minutes
Upload meeting minutes to build a history for the building. Check entries against the source when an owner asks about a past decision. Timeline review is separate from document-based reply drafting.
- What each meeting changed, and what stayed the same
- Levies, works, by-laws, committee and insurance in one history
- Fix an entry or merge two topics whenever you need to
- Check timeline entries against the original meeting minutes

Questions
The things firms ask first
Something else? contact@stratahandled.com
Does it send emails on its own?
Never to owners. Some tools send routine replies automatically. We don't, because one invented by-law in a sent email is hard to take back. The only automatic email is the morning summary to your own team.
How do I know when to trust a reply?
Every draft shows the passages it used and a short note on anything it left out, so you can check it in seconds. Sure, Worth a check and Not sure tell you how clearly the email matched a building and topic, not whether the reply is right.
What if the documents don't answer the question?
The draft says so. It writes the reply without citing anything, or leaves a blank for you to fill, and the note beside it tells you what it couldn't find.
Does it replace our strata software?
No. It sits beside the system you already use for levies and accounts. Strata Inbox only looks after the email side of the job.
Do owners need to do anything differently?
No. They keep emailing the address they always have, and replies come from your address in the same conversation.
Which email do you support?
Strata Inbox is designed for Microsoft 365 work accounts. Confirm your mailbox type, including shared mailboxes, and attachment requirements before connecting.
Do you train AI on our emails?
No. Training exports are off by default, and only your firm’s owner can turn them on.
What happens to our data?
Every record belongs to one firm, and no firm can see another’s. The Security and Privacy pages cover where it’s stored and who handles it.
